This policy explains what personal information we collect, why we collect it, who we share it with, and what you can do about it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). If anything here is unclear, email us and we will explain it in plain English.
1. Who we are
In this policy, we, us and our mean The Trustee for the Bluwheel Trust trading as B.A.S.I.C Solutions Australia (ABN 50 730 200 902), a consultancy based on the Gold Coast, Queensland. We provide CRM setup, automation, AI implementation services and in-person AI workshops.
2. What we collect
We may collect the following kinds of personal information.
- Contact and identity details — your name, email address, phone number, business name, job role, industry and business location.
- Enquiry and booking details — the workshop city and date you are interested in, what you told us about your business, and the notes we make when we speak with you.
- Payment details — when you buy something, your payment is processed by Stripe. We receive confirmation of the payment and limited details such as the last four digits of the card. We do not collect or store full card numbers.
- Technical and usage information — IP address, browser and device type, the pages you visit on our website, and how you arrived (for example, which ad or search you came from).
- Communications — emails, SMS, form submissions and, where you have been told at the time, notes or recordings of calls.
You do not have to give us your personal information, but if you do not, we may not be able to answer your enquiry, take your booking or provide our services.
3. How we collect it
We collect personal information:
- directly from you, through our website forms and checkout;
- through lead forms and enquiry forms on third-party platforms such as Facebook and Instagram, when you choose to submit one;
- when you email, call or send us a message;
- when you attend one of our workshops or events; and
- automatically through cookies and similar technologies on our website (see section 7).
4. Why we collect and use it
We use personal information to:
- respond to your enquiry and follow up with you about it;
- process workshop bookings and payments, and send you the confirmations, joining instructions and materials for the day;
- provide, support and improve our services;
- send you marketing about our services, workshops and content, where you have consented or would reasonably expect it;
- measure and improve our advertising, so we spend less showing ads to people who do not want them; and
- meet our legal, tax and record-keeping obligations.
5. Marketing, email and SMS
If you give us your details through an enquiry form, a lead form on Facebook or Instagram, or by asking us about a workshop, we may contact you by email, SMS or phone about that enquiry and about our related services. Some of our follow-up messages are sent automatically, and some are drafted or sent with the assistance of AI tools. A real person is always behind the business and you can reach one at any time.
Every marketing email and SMS we send includes a way to opt out. You can also reply STOP to any SMS, or email us, and we will stop sending you marketing. We will action the request promptly. We may still contact you about something you have actually booked or bought, because that is not marketing.
6. Who we share it with
We do not sell your personal information. We share it with service providers who help us run the business, and only so they can perform that service for us. These currently include:
- GoHighLevel — our customer relationship management system, where enquiries, contacts and conversations are stored;
- Supabase — the database behind our website bookings and forms;
- Stripe — payment processing;
- Vercel — website hosting;
- Meta (Facebook and Instagram) and Google — advertising and analytics, including lead forms and conversion measurement; and
- our professional advisers, and anyone else where you have consented or the law requires or permits it.
7. Cookies, pixels and advertising
Our website uses cookies and similar technologies, including the Meta pixel and Google Ads tags. These tell us how people find and use the site, let us measure which ads lead to enquiries, and let us show ads to people who have already visited. They may set cookies in your browser and share limited information with Meta and Google.
You can block or delete cookies in your browser settings, and you can manage ad personalisation in your Facebook and Google account settings. Some parts of the site may not work properly if you block cookies.
8. Overseas disclosure
Several of the providers listed in section 6 are based overseas, or store data on servers outside Australia, principally in the United States. By providing your personal information to us, you acknowledge that it may be stored and processed outside Australia. We take reasonable steps to use reputable providers with their own security and privacy commitments, but overseas recipients may not be subject to the Australian Privacy Principles.
9. How we keep it secure
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. That includes access controls on our systems, encrypted connections to our website, and limiting who in the business can see what. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We keep personal information only as long as we need it for the purposes described in this policy, or as long as the law requires us to. When we no longer need it, we take reasonable steps to destroy it or de-identify it.
10. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and you can ask us to correct it if it is wrong, out of date or incomplete. Email us at the address in section 12. We will respond within a reasonable time, normally within 30 days. We may need to verify who you are first. If we refuse a request, we will tell you why in writing.
11. Complaints
If you think we have mishandled your personal information, please tell us first. Email us with the details and we will investigate and respond to you in writing, normally within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au, or on 1300 363 992.
