AI receptionist for plumbers

The burst pipe call you missed went to another plumber.

Plumbing work goes to whoever picks up. When you are under a house or driving between jobs, an AI receptionist answers, tells the caller what you charge and whether you cover them, takes their details, and sends you the summary while the job is still winnable.

Incoming callMissed by you9:14 pm

Good evening, thanks for calling. How can I help?

There's water coming out from under my hot water tank, it's going everywhere.

That sounds urgent. Are you able to turn the water off at the mains? After-hours callouts are $250 plus parts, and we cover Ashmore. Can I take your details?

Yeah I've turned it off. Sarah King, 22 Ashmore Road.

Flagged urgent · Sent to your mobileSarah King, 22 Ashmore Road, hot water tank leaking, mains isolated. Quoted the after-hours rate. Sent to you straight away with the full transcript.

The phone is the leak

Most small businesses don’t lose work because they’re bad at the job. They lose it because nobody picked up, and the caller rang the next name on the list.

You cannot answer with your hands full

You are under a sink or up in a roof cavity. The phone rings out, and a plumbing customer with water on the floor does not leave a voicemail, they ring the next plumber.

Emergencies happen at night

Hot water systems fail on Sunday and pipes burst at 11pm. Those are your best paying jobs and they go to whoever is awake and answering.

You ring back blind

A missed call tells you nothing. Was it a dripping tap or a flooded laundry, are they even in your area, and do they know what a callout costs.

What it actually does on a call

A proper answering service, not a phone tree and not a voicemail transcriber. It has a real conversation, handles the questions your customers actually ask, and makes sure you know exactly who rang and what they wanted.

01

Answers on the first ring

Every call, every hour. It greets callers with your business name and the script you approve.

02

Answers their questions

Trained on your services, your hours, your pricing, your service area and the questions you get asked twenty times a week. It gives real answers, not “someone will call you back”.

03

Qualifies the enquiry

Asks the questions you’d ask. What’s the job, where is it, how urgent, and is it the kind of work you take.

04

Sends you the summary

Straight after the call you get who rang, what they wanted, their details and a short summary, with the full transcript so you can read it word for word.

05

Escalates the urgent ones

Burst pipe at 11pm, or a caller who asks for you by name. You set the rules for what gets put through or flagged straight to your phone.

06

Never has a bad shift

The tenth call of the night gets the same greeting and the same questions as the first. No shortcuts on a busy Friday, no notes lost in the ute.

What it does not do on its own

The $99 plan is an answering service. It does not book appointments into a calendar, send texts or emails to your customers, or keep a customer database, because all three of those need the platform behind them. If you want the receptionist to book jobs straight into your diary and follow people up afterwards, that’s the CRM plan below.

How we get it live

We do the whole build. You’re involved for about an hour in total.

STEP 01

We learn your business

One call where we go through your services, your pricing questions, your service area, your hours and what a good enquiry looks like to you.

STEP 02

We build and test it

We write the script, connect it to your calendar and CRM, then ring it ourselves until it handles the awkward calls properly. You listen to the recordings and tell us what to change.

STEP 03

We point your number at it

Either it takes every call, or it only picks up the ones you don’t answer after a few rings. Your choice, and you can change it whenever.

What it costs

One setup fee, one monthly fee, and the phone costs on top. Nothing hidden. Most AI receptionist services in Australia run between $199 and $699 a month once setup and call minutes are counted, and several charge close to $1,000 just to get started. We publish our numbers because we don’t need a demo call to justify them.

SetupTraining it on your business, writing and testing the script, and pointing your number across. One-off.$499
MonthlyRunning the receptionist, hosting, call summaries and transcripts, and tuning it as your business changes. Answering service only, no platform access.$99/mo
Phone number and call usageAbout $10 a month for a dedicated mobile number, then roughly 40c a minute on the calls it answers. Billed to us in US dollars, so it moves with the exchange rate.Billed on top

Phone number and call charges are billed separately from the subscription. The platform bills us in US dollars, so the Australian figures move with the exchange rate. Treat this as a close estimate rather than a quote. Prices exclude GST.

Want it to book the job, not just take the message?

On its own the receptionist hands you the enquiry and you ring them back. That’s a big step up from voicemail, but you are still the one making the booking, quoting the ones who went quiet, and remembering to ask the happy ones for a review.

Add the platform and the receptionist can finish the job on the call: read your real availability, book the appointment while the caller is still on the line, text them a confirmation, and file the whole thing against a customer record you can follow up from. Take it together with the receptionist and your setup fee drops.

Receptionist setup $499 $399$249/month for both, instead of $99 + $150

Just ask about it on the call, there’s no rush to decide now.

All prices in AUD and exclude GST. No lock-in contract on the monthly fee.

Working with Basic Solutions has completely transformed how we operate at Top House Solar. Before coming on board, we were juggling multiple systems across sales, operations, and customer management. It was messy, time-consuming, and things were slipping through the cracks. Anthony and his team stepped in and consolidated everything into one streamlined CRM, automating a huge portion of our workflow and giving us full visibility across the business.

Why owners work with us

We’re a Gold Coast agency that builds CRM, automation and AI systems for Australian businesses. We run this exact receptionist on our own phone line, so before you spend anything you can ring it and judge it yourself. If it’s not good enough for your customers, don’t buy it.

Where we work

We’re based on the Gold Coast and set up AI receptionists for businesses right across Australia. The build is done remotely over a call and a few test rings, so it makes no practical difference where you are.

Gold Coast and South East Queensland

Our home patch, from Coolangatta through to Brisbane and out to Ipswich and the Sunshine Coast. Happy to meet in person if you’d rather do it that way.

Anywhere in Australia

Sydney, Melbourne, Perth, Adelaide, Hobart, Darwin and every regional town in between. Australian voice, Australian phone numbers, Australian business hours.

Common questions

What is actually included for $99 a month?

The receptionist answers your calls around the clock, trained on your business so it can answer real questions about your services, hours, pricing and service area. It takes the caller's details and what they want, and sends you a summary and the full transcript after every call. It is an answering service, not a platform, so there is no login and no customer database included.

Can it book appointments into my calendar?

Not on the $99 plan. Booking requires access to a live calendar, which means the platform. On the $249 plan the receptionist reads your real availability and books the appointment while the caller is still on the line. On the $99 plan it takes the enquiry and you make the booking when you read the summary.

Will it text or email my customers?

Only on the $249 plan. Sending confirmations, reminders and follow-ups needs the messaging platform behind it. The $99 plan sends information to you, not to your customers.

How do I get the call details?

After each call you receive a summary with the caller's name, number, what they were after and anything the receptionist qualified, plus the full transcript so you can read the conversation word for word. We set the delivery up with you during the build.

Will callers know they are talking to a computer?

That is your call, and we set it up whichever way you want. Most owners have it introduce itself by name as their assistant. Some prefer it to say plainly that it is an AI assistant. It will never claim to be a specific human being, and if a caller asks whether they are speaking to a person it will tell them the truth.

What happens if it cannot handle the call?

You decide the fallback. It can transfer the caller straight through to your mobile, or take the details and flag the call to you as urgent. It is built to hand over rather than waste the caller's time.

Do I have to change my phone number?

No. We can divert your existing number to it, either for every call or only for the calls you do not answer after a few rings. You keep the number your customers already know.

How long does it take to go live?

Usually within a week of our first call. Most of that is us building and testing it. Your part is roughly one hour on the phone plus listening to a few test recordings.

What are the call costs on top?

You need a dedicated phone number, which is about $10 a month, and the calls it answers are charged at roughly 40c a minute. These are billed separately from the subscription. The platform bills us in US dollars, so the figures move with the exchange rate.

Am I locked into a contract?

No. The $499 setup is a one-off and the $99 per month runs month to month. If you stop, we hand back your number diversion and you carry on as you were.

Can I start on $99 and add the platform later?

Yes, and plenty of people will. Start with the phone getting answered, and add booking and follow-up once you can see from the summaries how much work is coming through the phone. You would pay the difference in the monthly fee at that point.
